1. Information We Collect and Use
- Recorded audio: Audio files temporarily used for transcription.
- Transcribed text: Text created from recordings, along with creation and update dates.
- Summary and organization data: Daily, weekly, monthly, and yearly summaries, topics, notes, keywords, rankings, keyword frequency, and AI-generated results.
- AI Personalization input: Optional short instructions entered by the user in Settings to adjust AI summary output.
- Usage and purchase information: AI summary usage count, plan, subscription status, extra credit balance, purchased product IDs, and transaction information needed to verify purchases.
- Identifiers: Firebase anonymous authentication UID, app account identifier used for App Store purchase verification, authentication tokens, and App Check tokens.
- Support information, if provided voluntarily: Email inquiry details, reproduction steps, device and OS information, screenshots, and similar support materials.
CatchVoice does not ask users to directly enter names, addresses, phone numbers, or similar direct personal information. However, recorded audio, transcribed text, summaries, and AI Personalization input may contain personal information if the user includes it.
3. External Transmission and Third-Party Services
CatchVoice uses the following external services only as needed to provide app features. User data shared with third-party services is handled under this policy, applicable laws, and the terms and privacy policies of each provider, with the expectation that equivalent or stronger protection is provided.
- Apple Speech Recognition: Recorded audio may be processed by Apple's speech recognition service to create transcripts.
- Apple App Store / StoreKit: Used for subscriptions, extra credit purchases, purchase status checks, and purchase restoration.
- Firebase Authentication / Firebase App Check / Google Cloud: Used for anonymous authentication, authentication token issuance, App Check, usage count checks, subscription status checks, and extra credit balance checks.
- CatchVoice relay server, operated on Google Cloud: Used to process Gemini API requests, check usage counts, and reflect purchase information on the server.
- Google Gemini API / Google LLC: Used only when the user agrees to Gemini summaries, for summaries, topic organization, keyword extraction, and daily, weekly, monthly, and yearly reflection generation.
For Gemini summaries, CatchVoice sends the transcribed text selected for summarization, related existing summaries, the selected date range, AI Personalization input, and settings needed to generate the summary. Recorded audio files themselves are not sent to the Gemini API.
CatchVoice's relay server only forwards Gemini summary requests and manages usage counts, subscription status, and extra credit balance. It does not store transcribed text, summary input, or Gemini response content.
If the user has not agreed to send data for Gemini summaries, CatchVoice does not send this information to the Gemini API. Users can continue using recording, transcription, and other on-device features without agreeing.
Daily summaries created with Apple Intelligence use Apple Intelligence features provided by the operating system. In this case, the target summary text is not sent to the Gemini API.
4. Retention, Deletion, and Consent Withdrawal
- Recorded audio is stored temporarily on the device for transcription.
- After transcription succeeds, the audio file is deleted from the device, and the transcribed text and generated summaries remain in the app.
- If transcription fails, the audio file may remain on the device so the user can manually retry transcription. The audio file is deleted after a successful retry or when the related memo is deleted.
- Transcribed text, summaries, weekly/monthly/yearly summaries, and AI Personalization input are stored on the device until the user deletes them in the app or uninstalls the app.
- Backups include recording creation dates, audio file names, transcribed text, and update dates. Backups do not include audio files or summary data.
- Firebase anonymous UID, usage counts, subscription status, extra credit balance, and information needed for purchase verification may be retained as long as necessary to provide features, restore purchases, prevent abuse, and comply with legal obligations.
Users can withdraw consent for sending data to Gemini summaries at any time in the app's Settings. After consent is withdrawn, Gemini summaries cannot be used again until the user agrees again.
On-device data can be deleted using in-app deletion features or by uninstalling the app. To request deletion of server-side usage or purchase verification information, contact yoshihiro.app@gmail.com. Some information, such as purchase history, may be retained as required by law or as necessary to prevent abuse.
